How to Use Voice Memos to Capture Networking Notes Fast

[Reading Time: < 1 minute]

If you’re walking away from a coffee meeting or networking event and trying to remember what just happened — this trick can save you. Most sales reps don’t lose business because they had a bad meeting. They lose it because they forgot to follow up with clarity. Here’s a 60-second system using the iPhone’s voice memo tool.

Step 1: Open Voice Memos and Talk

As soon as you’re out of earshot, open your iPhone’s Voice Memos app and hit record. Keep it simple and talk casually — like you’re explaining to a coworker. Use this pattern:

  • “Met with [Name]. Talked about [topic]. Wants to revisit [offer/product]. Mentioned their dog ‘Waffles.’ Said follow-up in two weeks.”

Step 2: Wait 2 Minutes

Once you stop recording, your iPhone automatically generates a transcript. Give it about two minutes — Apple processes it on the device, no internet needed.

Step 3: Paste the Transcript into the CRM

Open your CRM app or dashboard, and copy/paste the voice memo transcript directly into the notes section for that contact.

Use this structure when pasting:

  • Person’s Name
  • What Happened (summary of discussion)
  • Personal Details (dog’s name, hobbies, family mentions)
  • Follow-Up Date (add this as a task if your CRM supports it)

This works because it’s fast, done while the conversation is still fresh, and doesn’t rely on your memory or multitasking later. You can still polish the notes if needed — but even the raw version is far better than a blank field.

Mike Martino says:

“You’re not building a journal. You’re building a trail. Use your voice, keep it moving, and let your CRM do the organizing.”
